Grade Book

About Grade Book

Grade Book is a service that Opscan provides to instructors. We can keep track of all the tests you have asked us to scan and give you a single printout that provides the grades for all tests and students, along with a summary score for each student.

This service does not upload scores to a mainframe or assign weights to scores after they are scanned. It simply shows, in sequential order, the jobs we have scanned and the scores for all the students. The composite score is simply the sum of the scores on the various tests. It is possible, before we scan any tests, to plan out your quizzes and tests so that your composite score is more heavily weighted toward higher-point tests.

Tips for Using Grade Book

If you decide you want to receive Grade Book printouts throughout the semester, you should know the following.

We use the official class list as given in the Records Office. That list is not available until after the tenth day of classes. While we can scan tests and generate other reports for you, we cannot generate any Grade Book results until approximately 12 days after the semester begins.

You must select the Grade Book option on the job request form for each test you want to be included in the Grade Book printout. Note that we must have the course number, the section number, and the test number for every such job.

When your students take the test, they must enter their UIDs on their test sheets in order to be tracked. Any student not filling in his UID correctly will not be listed on the Grade Book report but on a separate error report. (Even if the sheet includes a field for Social Security Number, the UID should be given.)

When you submit the job for scanning, extra information is required on the answer key (not on the student test sheets) in three special fields and should be entered as follows:

Course:
first 5 positions in the University ID field, e.g., 10100 for course 101, 10404 for course 104.04.
Section:
positions 6 and 7 in the identification number field, e.g., 07 for section 7.
Test number:
positions 8 and 9 in the field, e.g., 02 for test 2.
Department number:
in the DEPT field, e.g., 460 for Politics and Government.

You can use these fields to print out the test, section, or course on any report, not just Grade Book, but these fields are required in order for Grade Book reports to work.

The Grade Book Output

There are two reports that are generated by the Grade Book option. The first is the Student Summary report.

This report has the following columns:

Student Name:
The students sorted alphabetically by last name.
UID:
The students’ UIDs are listed.
Composite Score:
The scores on all the tests listed are added and the sum is listed here.
Test Number and Scores:
The scores on each individual test are listed with each student’s score listed.

If a student does not fill in the UID correctly, then the student’s name, scanned UID, test number, and score are listed in a separate report.

Such errors can be corrected by submitting corrections on the Grade Book Correction Form, which you should receive along with your printouts.

To insure that your Grade Book records are accurate, you will need to get the correct UID from your class list and list the following information on the form when you submit it to Opscan:

Update Code:
Enter one of the following codes so we know what change is needed:
  • Add Name to List: Use the code “A” to add students to our list who have been added to the class since Opscan downloaded the class list from the mainframe.
  • Delete Name from List: Use the code “D” to remove a student from Grade Book. This is usually done when a student withdraws from the class.
  • Change Test Score: Use the code “C” to change a score of a previously scanned test that appeared in a Grade Book printout but needed alteration.
  • New Test Score: Use the code “N” to add test scores of students who appear on the error report or to add test scores for tests that were taken late and you graded yourself.
Dept No:
Give the department number, e.g., 460 for Politics and Government.
Course No:
Enter the full course number, e.g. 29200 for course 292, 10404 for course 104.04.
Section Number:
Enter the section number as two digits, e.g. 02 for section 2.
University ID:
Enter the student’s UID as it is entered on your class list.
Name:
Enter the student’s name, last name first.
Test No:
Enter the test number as two digits, e.g. 03 for test 3.
Score:
Enter the correct score for the given student on the given test.

You can return the correction form when you submit your next test, and we will make every effort to insert those corrections before we scan your test.
